Bill Beams called the meeting to order at 6:15 P.M.
Minutes from the meeting of January 25, 2005 were read and approved.
Kris Vanzant reported that the Alumni Association account had a balance of $1,445.52
Brother James Koeppe reported that eighteen donors had contributed $3,335.00 to the
Endowment Fund. This was unchanged since the last report of January 25.
Fund Raising Activities:
Brother Kris Vanzant, reporting for Brother Jeff Vanzant: Keeneland had reserved forty grandstand seats for April 23. The cost is $5.00 per seat.
Brother James Koeppe: The Lexington Legends outing will be held on June 11. The cost
will be$20 per person. A 50% group deposit will be required.
A Golf scramble is scheduled on August 6 at Longview. If there are less than 56 golfers,
tee times will be assigned as available. The cost is $35 for early tee times and $30 for tee
times after 2:00 P.M.
Newsletter discussion covered content and production/mailing costs:
Brother Bill Beams questioned if more biographies of alumni could be included.
Brother Kris Vanzant inquired about funding for printing and mailing.
Bill Beams: check with a printing company in Wilmore for printing cost and the time
required to print the newsletter. Brother Kris Vanzant will send newsletter as PDF to
printing company designated by Brother Bill Beams.
Brother Steve Ruddy: The newsletter should be mailed as soon as possible; Brother
Ruddy will be responsible for affixing mailing labels.
Brother Tom Grissom: Brother Dan Miller would assist by obtaining current mailing
address and possible provide workspace. Brother Grissom also said that a percentage of
the Endowment Fund should be designated to help defray expenses.
Brother James Koeppe: Work study students might be used in preparing mailings; Which
mailing list to use - Georgetown College's, Lambda Chi Alpha's or a merged list of the
two? Will Georgetown College allow use of bulk mail permit? Brother Koeppe also
suggested that a monthly electronic newsletter be sent to all members
The newsletter should spotlight brothers from different eras and should solicit articles
from Brothers relating to "What Lambda Chi Alpha Mean To You?"
Brother Kris Vanzant: The Alumni Association should have a logo and slogan printed on
stationery and envelopes. Pledge reminders should be sent each year.
Brother Steve Ruddy: Will have Thank You cards for Endowment Fund contributors
printed. The Alumni Association Board members will sign them at their scheduled
meetings.
Brother Tom Grissom spoke to several items:
Emphasized that any fund raising effort should be conducted in a professional manner.
There should be a class challenge to contribute to the Endowment Fund. Brother Beams
will forward a list of past High Alphas to contact for the class challenge. Results will be
posted monthly on the Chapter Web Site. Big Brother/Little Brother could also be
utilized.
The Class of 1955 should be honored at the next Homecoming. Brother Grissom will be
responsible for contacts and mailings. An alternative plan would be to honor the Classes
of 1953 - 1957.
A Founders' Day Banquet should be held to honor distinguished alumni from different
eras.
Give caps, mugs, shirts, decals, etc. to Endowment Fund Contributors.
Brother Grissom's meeting with Brother Dan Miller produced several points:
49% of the Georgetown Campus is involved in a Greek organization.
Some corporations will match individual employee's gifts. Brothers should check with their employers.
One major contributor or a small group of contributors should be approached about giving to the Endowment Fund.
Gwen Curry should be asked to write an article for the next newsletter spotlighting the
reasons why one should contribute to the Endowment Fund.
